ARTICLE 1. PRESENTATION

 

Just Eddy organizes the Long Course Weekend Belgium, which takes place in Nieuwpoort on September 26, 27, and 28, 2025.

 

- Friday, September 26: Swimming (3800m and 1900m)

- Saturday, September 27: Cycling (45km, 90km, and 180km)

- Sunday, September 28: Running (Marathon, Half Marathon, 10km, 5km, and Kids Race)

 

ARTICLE 2. ACCEPTANCE OF THE TERMS

 

These Terms apply and take precedence over all other terms (whether conflicting or differing from these Terms) included or referred to in any document submitted by the Participant, in correspondence, or elsewhere, or implied by trade customs, practices, or dealings. A modification of these Terms is only valid if the Event Organizer informs the Participant in writing, through any official event material or correspondence prior to the Event (including via email). The Participant is deemed to have accepted these Terms upon completion of the Registration Form.

 

By registering for the race, all participants accept the current general terms and release the event organizers, sponsors, promoters, representatives, successors, and assigns, and all other persons involved in the event, from any liabilities, claims, actions, or damages that the participant may have against them as a result of or in any way connected to participation in this event.

 

ARTICLE 3. PARTICIPATION

 

3.1 The Participant acknowledges that participation in the Event is physically demanding. It is recognized that participation in the Event will be physically challenging, and the Participant is aware of the nature of the Event and the associated medical and physical risks.

 

3.2 The Participant agrees that he/she is physically capable of participating in the Event and agrees to be solely responsible for his/her actions. The Event Organizer, its officers, employees, agents, affiliates, associated companies, sponsors, or medical advisers are not responsible for any injury or illness that the Participant may suffer as a result of his/her participation in the Event. The Participant accepts that if a medical or physical condition arises prior to the Event, which is likely to affect his/her ability to compete, the Participant will withdraw in accordance with these Terms.

 

3.3 The Participant agrees to comply with all applicable rules and regulations for the various parts of the event, such as swimming, cycling, and running. The Participant is not entitled to a refund of the registration fee if he/she is disqualified from the event due to violations of these rules and regulations. The Event Organizer reserves the right to impose additional rules that form part of these Terms. All relevant rules and regulations will be provided by the competent authorities involved in the organization of the event.

 

3.4 The Participant must register and place their bike at the times and on the day specified in the event information provided by the Event Organizer before the Event

 

3.5 It is the responsibility of the Participant to provide and use a suitable bike and helmet that comply with the rules and regulations of the relevant authority.

 

3.6 Unless otherwise indicated by the Event Organizer, wetsuits are mandatory for open water swimming when the water temperature is below 15.9°C. When the water temperature is up to 24°C, the use of a wetsuit is optional. Above this temperature, wearing a wetsuit is prohibited. It is the responsibility of the Participant to provide and use a wetsuit that complies with the applicable safety and competition regulations. Participants without a wetsuit will not be allowed to participate if a wetsuit is required.

 

3.7 The Event Organizer may, at its discretion, set time limits as part of the event rules, which impose limits on the time required to complete parts of the Event (as determined by the Event Organizer) to ensure the safe and correct execution of the Event. Participants may be instructed to withdraw from the race in accordance with the imposed time limits.

 

3.8 The Event Organizer reserves the right to remove Participants from the Event or prevent them from participating in the Event and future events at any time, if the Event Organizer, at its sole discretion, believes that such measures are necessary for safety reasons or for the proper enjoyment of the Event by other Participants, or for any other reasonable reason. No refund of the registration fee will be given if the Participant has acted negligently, maliciously, intentionally, or otherwise without due care and attention to the Event or other participants, leading to their removal/disqualification. The athletes concerned may also face a lifetime ban from all events.

 

3.9 The Event Organizer will send all communications, including any offers for deferred registration or reserved registration places, newsletters, and other relevant event information, via email to the email address provided by the Participant on the Registration Form. The Event Organizer cannot be held responsible for any computer malfunctions or other technical anomalies that occur during the sending of such email communication, resulting in the Participant not receiving it. To ensure that all event information is received, it is the sole responsibility of the Participant to provide the Event Organizer with the correct email address and postal address and to inform the Event Organizer of any changes before the Event.

The Event Organizer will process any changes to the Participant's contact details up to 4 weeks before the Event. Participants can collect their official Race Pack from Thursday, September 19, at the event location. The Participant must bring their registration confirmation. The Event Organizer is not responsible for the Participant's failure to collect the Race Pack on time. If, for any reason, the Participant does not collect the Race Pack before the start of the Event, it is the Participant's responsibility to collect it at the times indicated by the organization.

 

3.10 At registration, the Participant must present a valid photo ID accepted by the Event Organizer (such as a driver’s license, ID, or passport). If an athlete transfers or accepts a place, whether for free or for a fee, both athletes will be disqualified before and/or during the event. This includes selling the place online or through other means. Due to the seriousness of invalidating insurance, incorrect medical information, and emergency contact details, the athletes concerned may also face a lifetime ban from all events.

 

3.11 The race number/goody bag must be collected by the athlete with a valid photo ID.

 

3.12 Although the Event Organizer takes all due care in organizing the Event, the Participant acknowledges that personal accident and property insurance is their own responsibility.

 

3.13 Minimum age for participation:

  • The minimum age for participation in the event is 16 years on the day of the event.
  • For the 5 km and 10 km running races, the minimum age is 12 years.
  • For the marathon distance of 42.2 km, the minimum age is 18 years.

 

3.14 The decisions of the Event Organizer and its appointees are final and binding.

 

3.15 The Event Organizer is not responsible for any loss, damage, theft, or injury incurred by the Participant, or for lost items or property left behind by the Participant during or after the Event.

 

3.16 All decisions and statements made by the Event Organizer, its employees, and its agents are considered final. Accordingly, the Participant must comply with all event rules and all instructions and guidelines provided by stewards, marshals, and safety personnel. The Participant acknowledges and agrees that the Event Organizer will organize and manage the Event and will have sole authority and be the final arbiter on all decisions regarding the safety, conduct, and organization of the Event, including event rules, timing/finish times, and rankings

 

3.17 These Terms are personal to the Participant and he/she may not transfer any of his/her rights or obligations under this Agreement without the prior written consent of the Event Organizer. The Participant represents and warrants that the registration has been purchased solely for personal use, that it may not be given or donated free of charge, and that it was not purchased as part of any business or commercial activity (unless expressly permitted by the Event Organizer). In particular, the registration may not be resold or offered for resale by anyone, whether at a higher price or otherwise, and may not be used for advertising, promotion, as a prize (including in competitions and sweepstakes), travel packages, or for any other commercial purposes. Any donation, gift, resale, or attempted resale will be grounds for confiscation or cancellation without refund or other compensation.

 

3.18 The Participant acknowledges and accepts that circumstances relating to an Event may change from time to time due to reasons beyond the reasonable control of the Event Organizer, or otherwise, without the Event Organizer accepting any liability and without the Participant acquiring any rights to withdraw, other than as specified in Article 4 below. For example, changes may occur in parking arrangements, wetsuit regulations, and hotel issues, but such changes/problems do not entitle the Participant to withdraw, nor will the Event Organizer be held liable, except as otherwise provided herein.

 

3.19 Any athlete who posts defamatory or false comments/statuses on social media will be disqualified and/or banned from all future events, and legal action may be taken.

 

3.20 Cut-off times for the Long Course Weekend and the individual events:

  • Swimming:
    • 3800 meters: maximum of 2 hours and 15 minutes.
    • 1900 meters: maximum of 1 hour and 40 minutes.
  • Cycling:
    • 180 kilometers: maximum of 9 hours.
    • 90 kilometers: maximum of 8 hours.
    • 45 kilometers: maximum of 3 hours.
  • Running:
    • Marathon (42.2 km): maximum of 5 hours and 30 minutes.
    • Half marathon (21.1 km): maximum of 3 hours and 30 minutes.
    • 10 kilometers: maximum of 90 minutes.
    • 5 kilometers: maximum of 60 minutes.

ARTICLE 4. BOOKINGS & PAYMENTS

 

4.1 In exchange for the right to participate, the Participant must pay the fee by the registration deadline specified on the registration form.

 

4.2 The Participant is only eligible to participate in the Event after full payment of the fee has been received by the Event Organizer, at least 2 weeks before the start of the event. No payment is considered to have been received until the Event Organizer has received the funds.

ARTICLE 5. WITHDRAWALS, CANCELLATIONS, OR CHANGES

 

5.1 We are not liable for refunding registrations or for any other penalties in the event of the cancellation of the event due to force majeure. We accept no liability for any consequential damages and are not required to reimburse other costs, such as transportation, accommodation, etc. The organization will offer a compensation proposal to the participant for the next Long Course Weekend Belgium event. The organizer cannot be required to refund the registration fee.

 

5.2 No refund will be provided for the registration fee or any extras (merchandise, charity donations, etc.) in the event of a cancellation by a participant.

 

5.3 In the event of the cancellation of the event, we will make every effort to inform all athletes one week before the event, although this may not always be possible. We accept no liability for any consequential damages and are not required to reimburse other costs, such as transportation, accommodation, etc. The organization will offer a compensation proposal to the participant for the next Long Course Weekend Belgium event. The organizer cannot be required to refund the registration fee.

 

5.4 If the participant wishes to cancel their registration without cancellation insurance, they have the option to transfer their registration to the next edition. However, this must be done before July 31, 2025. After this date, the registration can no longer be transferred.

 

Changes in distances before the event:

 

5.5 Individual Sports Registrations: Until July 31, changes to a shorter distance are free of charge. If you wish to switch to a longer distance, you must pay the difference in the registration fee. From August 1, an administration fee of €10 will be charged for each distance change, plus any difference in the registration fee if you switch to a longer distance.

 

5.6 A name change can be made online until September 1. After this date, name changes can only be made on-site at the event registration location. For each name change made on-site, an administration fee of €10 will be charged.

ARTICLE 6. CONSIDERATIONS

 

The registration is personal and non-transferable and signifies full acceptance of the race rules, including the waiver of civil liability. Once the registration is completed, it cannot be transferred to another person under any circumstances.

ARTICLE 7. CATEGORIES AND RESULTS

 

Age group categories are defined per discipline (Swimming/Cycling/Running). The following results will be available:

 

- Overall male and female results for the Long Course Weekend.

- Overall male and female results for each discipline (Swimming/Cycling/Running) and for each distance.

- The results will include the official time, real-time, for each participant.

The rankings for both the FULL LONG COURSE Weekend and the HALF LONG COURSE Weekend are determined by adding the total times of the three separate disciplines: swimming, cycling, and running. The final result is the sum of the total swim time, the total cycling time, and the total running time of the participant.

For the cycling event, only a separate result will be published for the 180 km participants, where the total cycling time is calculated by adding the times of the two time trials on the course.
Additionally, there is a special prize, the King Of The Mountain, for the participant who completes the time trial on the Kemmelberg the fastest.

 

 

 

ARTICLE 8. PRIZES

 

The top 3 men and women from the overall results of the Long Course Weekend. The top 3 men and women from the overall results of each discipline (Swimming, Cycling, Running) and for each distance will receive a trophy. All finishers in each discipline and distance will receive a medal. Participants of the Long Course Weekend who complete all 3 disciplines will also receive a 4th medal.

ARTICLE 9. COMPLAINTS

 

Complaints must be submitted via email to: [email protected] by the Wednesday following the event. The organization will respond within 10 days of receiving the complaint. Until that day, the results will be provisional.

ARTICLE 10. BIB NUMBER

 

The collection of the BIB number will take place at the registration location during opening hours. At registration, the Participant must present a valid personal photo identification accepted by the Event Organizer (such as a driver’s license or passport). The BIB number must be clearly visible at the front during the entire race and must not be altered.

ARTICLE 11. CHIP

 

The chip is included in the registration fee. For safety reasons, it is mandatory to participate with the chip. The provided chip must be returned at the finish line.

ARTICLE 12. DISQUALIFICATIONS

 

Disqualification will occur for the following:

  • Providing incorrect information during registration (age, residence, etc.)
  • Failing to complete the entire course
  • Failing to pass through the checkpoints on the course
  • Incorrectly displaying or altering the BIB number
  • Participating with another participant's BIB number and/or chip
  • Ignoring the instructions of the organizers and/or officials on the course
  • Refusing to undergo a doping test
  • Unsportsmanlike behavior

ARTICLE 13. MEDICAL ASSISTANCE

 

The Long Course Weekend will provide medical services to assist participants. The organization encourages all participants to undergo a medical examination before the race. All participants accept the risks associated with practicing this sport.

 

ARTICLE 14. CHANGES, CANCELLATIONS, LIABILITY EXCLUSIONS

 

14.1 The Event Organizer reserves the right to make changes to the date, time, course, or other details of the Event. The Participant is not entitled to any refund of the registration fee or other compensation as a result of such changes unless otherwise determined by the Event Organizer.

 

14.2 The Event Organizer reserves the right to cancel the Event in the event of extreme weather conditions or other circumstances beyond its reasonable control. In the event of cancellation of the Event, the Event Organizer will make reasonable efforts to inform the Participant via the email address provided on the Registration Form. In the event of cancellation, the Participant will not be entitled to any compensation for costs and/or damages resulting from the cancellation.

 

ARTICLE 15. APPLICABLE LAW

 

Belgian law applies to these General Terms and the Event. Any disputes arising from or related to these General Terms or the Event will be submitted to the competent courts.
